The Mailroom Associate plays a vital role in supporting daily business operations by managing the organization's mail, shipping, receiving, and print production needs. This position ensures all incoming and outgoing correspondence is processed efficiently and accurately, while maintaining exceptional service levels and supporting internal departments with printing, copying, and document finishing services.
Key Responsibilities
Mail & Shipping Operations
- Sort, process, and distribute incoming mail, packages, and interoffice correspondence in a timely manner.
- Prepare, meter, and send outgoing mail and packages using USPS, UPS, FedEx, and other carriers.
- Track incoming shipments and communicate delivery status to employees as needed.
- Maintain accurate logs of inbound/outbound deliveries and accountable mail.
- Handle bulk mailings, certified mail, and special delivery requests.
Print & Copy Center Support
- Operate and maintain digital printers, copiers, scanners, and finishing equipment (binding, laminating, cutting, etc.).
- Process print requests including copying, printing, formatting, and finishing of documents.
- Ensure accuracy and quality control across all print jobs.
- Assist users with print-related troubleshooting and equipment issues.
- Manage print supply inventory and order materials as needed.
Facilities & Office Support
- Maintain an organized and efficient mail and print room environment.
- Replenish paper, toner, and supplies for multifunction devices across the office.
- Coordinate scheduled maintenance and repair service for equipment.
- Support ad hoc administrative or facilities tasks as assigned.
- Provide backup support to the reception desk.
Qualifications:
- 3+ years of administrative support and/or mailroom related experience
Additional Information:
- Pay: $25-28/hr.
- Schedule: Monday-Friday, 8:00am to 5:00pm (35-40 hours per week)
- Location: Minneapolis, MN
- Type: Contract-to-hire
